They say productivity, time management, and clear communication are the keys to that ever dream of attaining business growth and work life balance. Who would not want those, right? But let me ask you. Do you know how to delegate tasks? Have you successfully delegated tasks that led to you moving from point A to B within the timeframe you wanted? Do you know all the pieces of the big picture now and will delegating this task and hiring a virtual assistant help you get the results you want in your business?
Hiring the perfect virtual assistant is not enough. To get the most support that you need, you must know how to do task management, and part of that is delegation. Delegation is a difficult thing to do for most business owners, especially if they’ve done things themselves and are comfortable with the results they get. However, there’s a point when scaling is inevitable and some aspects of your day are draining. You may have tolerated or managed them in the beginning but now you have some funds to allocate this to someone who actually enjoys doing those tasks.
That is your virtual assistant. It is hard to figure out what to outsource so here’s the simplest trick we VAs have found and I am going to share it with you.
Make a list of everything you do. Take your time with this task. Have a large sheet tapped to your fridge, a note opened on your phone and (yes, I said and) a notebook on your person to just log everything you do. This can include social media management, content creation, scheduling appointments, data entry, customer service, and all other administrative tasks that have been draining you and keeping you out of focus on the most essential things.
Take your time with this task.
After you have listed as much as you can with this, please do the following.
Note the tasks that bring in the most results that only you can do. (Highlight that in your favourite colour, yellow)
Note the tasks you do but would rather pull teeth to do those again (highlight those in red).
Allow the rest of the list to sit there and periodically assign them to the appropriate list as you go on.
Make a list of those that you would rather not do but bring in results, and then book a call with me so we can discuss how getting those done will help move you forward. I would suggest allocating 12 weeks to learning and figuring out a system that works with you and your VA (myself and my team).
It took a while for you to figure out some things in your journey and there’s time needed for you to convert what’s in your head to clear instructions that can be followed by someone else and made better by the second party.
Picture all the key tasks that only you can do that you haven’t had a moment to think about or even try to do and then go ahead and book the appointment to free yourself from the overwhelm you are currently experiencing.
Now imagine all those tasks done.
